Rental Terms and Conditions for Meeting Room and Art Room SAKB

1. TO BOOK
  1. Rental applications can be submitted via verhuur@ontmoetinglokaal.nl 
  2. Confirmation will be sent by email and will include the price, date, and time of the reserved room.
  3. The tenant can consider the email confirming the reservation, including the rental terms, as the rental agreement.
  4. Activities required for setup, furnishing, and/or decoration, or testing of equipment cannot take place earlier or later than the start time of the rental agreement. The landlord reserves the right to strictly adhere to the agreed times.
  5. If the reserved time exceeds the agreed time, a fee will be charged for each hour or part thereof.
    -These fees will be calculated pro rata to the room rental, plus an administrative surcharge of €20.
    -The maximum additional costs will not exceed one half-day (plus the administrative surcharge of €20).
  6. Extra uren kunnen tot de dag ervoor worden gereserveerd per e-mail naar verhuur@ontmoetinglokaal.nl . Indien beschikbaar bij reservering krijgt Huurder altijd een bevestiging per e-mail.
 
2. ACCESS
  1. Permanent tenants receive a key to the relevant building, which must be returned upon termination of the lease. When requesting a key, please provide the following information: name and address, room number, friend/teacher, etc.
  2. If the tenant is not a permanent tenant, the tenant can request a key code as soon as possible, but no later than three (3) working days in advance, by e-mail  sleutelcode@sakb.nl.
  3. When requesting the key code, please provide the following information:
    1. Date and time
    2. Local
    3. User name
  4. If the tenant requests a key code less than three working days in advance, it cannot be guaranteed that the tenant will receive the key code on time.
  5. Upon receiving the key code, the tenant will also receive instructions on how to use it.
  6. After use, the tenant must always ensure that the keys are returned to the key safe.
 
3. USE SPACE
  1. The tenant must ensure that the property is entered and exited quietly, without causing any disturbance to neighbors or other tenants in the building. The last person must have left the property by the agreed end time.
  2. Please also see the house rules under these rental conditions.
  3. Smoking is strictly prohibited in the building, as is throwing rice or confetti, setting off fireworks, or bringing highly flammable or explosive substances, gases, hazardous and/or combustible goods, or odor-emitting substances into the building. Violations will result in a €250 fine per violation.
  4. The tenant must adhere to the agreed rental period and vacate the space(s) within the agreed-upon timeframe. If the tenant wishes to extend the rental period, they can contact verhuur@sakb.nl by email to inquire about the possibility. 
  5. The rented spaces and restrooms must be left clean and tidy. If, after the venue manager’s assessment, the space(s) are left in a neglected state, a repair and cleaning fee of at least €100 will be charged.
  6. You are allowed to bring your own snacks and drinks, but you must clean up after yourself. This must not cause any inconvenience to others.
  7. The user can use the equipment to make coffee and tea. You must provide your own tea, coffee, filters, etc.
  8. When using the technical facilities, the tenant must adhere to directions or instructions.
  9. The landlord is not liable for damage to or loss of tenant’s property.
 
4. CANCEL
  1. After a rental agreement has been concluded, the tenant can only terminate the agreement in writing. Cancellation is only possible by email to: verhuur@sakb.nl or use the Zaalagenda app.
  2. In case of cancellation of the rental agreement by the tenant, the landlord will charge the following cancellation costs:
    1. 50% of the total rental price if cancelled on the day of the agreed rental period or the day before.
    2. when renting multiple rooms:
      • 25% of the total rental price if cancelled five to two days before the agreed rental period.
      • no cancellation fees if cancelled at least six days in advance.
    3. when renting one room: no cancellation costs if cancelled at least two days in advance.
  3. A modified cancellation/change policy applies to teachers.
    1. When booking a course, teachers must specify at least one date for a spare lesson. If one of the lessons is cancelled during the course, the spare lesson can be used. There are no additional charges for this.
    2. Teachers must inform us if the reserve lesson will be used.
  4. Any change of date must be made no later than two (2) weeks before the start of the rental period.
  5. Cancellation of a reservation by the landlord can under no circumstances give rise to any form of compensation.
 
5. PAYMENTS
  1. All payments must be made within 14 days of receipt of the invoice by bank transfer to the account number stated on the invoice, stating the invoice number.
  2. If payment is not made within the term, the landlord has the right to terminate the lease agreement with immediate effect and therefore not to allow the tenant access to the relevant space(s) or not to provide the agreed services.
  3. Quoted prices and/or product compositions are subject to (price) changes.
  4. If the tenant objects to an invoice sent by the landlord, the tenant must notify the landlord of this within five days of the invoice date at penningmeester@ontmoetinglokaal.nl. The payment obligation and the applicable term are not suspended by this notification.
